What are Satellite Symposia?
Satellite Symposia are non-ARVO-sponsored scientific/educational programs that offer educational content through presentations, lectures, posters, etc., including CME and non-CME-accredited activities. Satellite Symposia are not planned or sponsored by ARVO.
- NOTE: If an event does not meet the criteria listed above, it may be an Ancillary Event rather than a Satellite Symposium. Review the Ancillary Event Policy and Guidelines to determine if this matches your event description. If so, complete the Ancillary Event Request Form.
Timing
Satellite Symposia may be scheduled on the Friday prior to the ARVO Annual Meeting or evenings throughout the Annual Meeting. They cannot begin until ARVO programming has concluded for the day.
Requesting space for a Satellite Symposia
1. Read the ARVO Annual Meeting Satellite Symposia Policy. Events are scheduled at ARVO's discretion and all events are subject to the rules and regulations as set forth in the policy. There are no exceptions.
2. Requests must be made via the Satellite Symposia Request Form.
3. Once ARVO has approved the symposium, the request will be forwarded to the preferred hotel. Please submit a separate form for each event.
Requirements
- Event organizers must be associated with ARVO and/or the eye and vision research community. Events should be planned and scheduled in support of the ARVO Annual Meeting.
- Commercial organizers of Events must be supporters of the ARVO Annual Meeting at the value of not less than the cost of an inside 10x10 booth or pay a qualification fee.
- The use of the ARVO logos, trademark or name in conjunction with publicity must be pre-approved. ARVO may not be represented as cosponsoring an event unless a formal request has been submitted to and approved by ARVO.
- Conducting demonstrations and/or displays of commercial products will not be permitted during Events.
- Promotional materials must be approved by, and coordinated with, ARVO when placed in ARVO-controlled meeting facilities. Each sign must state that “This event is not organized or sponsored by ARVO.” Organizers must remove any meeting-related materials from their assigned rooms at the conclusion of the event.
- No named lectureships will be permitted.
- Events may not include the word “Keynote” in the title.
- ARVO will not endorse or financially support scientific meetings other than those organized or cosponsored by ARVO.
Breach of Policy
Organizers must adhere to the responsibilities outlined in the Satellite Symposia Policy and on the official forms to avoid cancellation of the activity. This includes prompt payment of all fees. Failure to adhere to the policy may result in refusal to allow your company or group the opportunity to exhibit or hold symposia, meetings or other events in ARVO-controlled meeting facilities in the current year or a specified number of future years.
