Ancillary Events & Satellite Symposia

 

ARVO provides access to available meeting rooms to members of the eye and vision community who are actively engaged in the ARVO Annual Meeting. To provide equitable access, all groups must follow the same rules.   

If you are planning to submit either an Ancillary Event or Satellite Symposia request, please follow the steps below and read the linked guidelines and policies: 

  1. Determine if your event is an Ancillary Event or a Satellite Symposia
  2. Once determined, read the ARVO Annual Meeting Ancillary Event Policy or Satellite Symposia Policy, as well as review the participation and administrative fees
  3. Requests must be made via either the Satellite Symposia Form or Ancillary Event Form. As you are completing your submission, we will collect the following information: 
  • Number of attendees
  • Location (Convention Center vs. Hotel)
  • Room set required
  • Audiovisual requirements

4. Once ARVO has approved the event, ARVO will generate an invoice for fees due (if any). If the request is for an event at a hotel, it will be forwarded to the appropriate contact. Events being held at the Convention Center will be acknowledged and room assignments will be shared in February. 

Ancillary Events
Satellite Symposia
  • Non-ARVO-sponsored special group events (e.g., business meetings and social events) 
  • non-ARVO-sponsored scientific/educational programs that offer educational content through presentations, lectures, posters, etc. (includes CME/non-CME-accredited activities)

Important notes

  • Ancillary Events and Satellite Symposia are not planned or sponsored by ARVO.
  • Requests for space must be made via the relevant event form. Please submit a separate space request form for each event.
  • All events are scheduled at ARVO's discretion and are subject to the rules and regulations as set forth in the relevant event policy. There are no exceptions.
